Smart Oakland Announces Schedule for Final Week

Morning Team,

First, I am very pleased to report the working title of our response to the DOT's Smart City Challenge: 

Oakland Plus (Oakland+): A Smart & Sustainable Transportation Initiative 

Now and going forward, if anyone asks you how things are going with the proposal, you can simply direct them to www.oakland.plus and invite them to see for themselves.


Second, what follows is a detailed schedule for our last week of this Smart Oakland sprint:


Wednesday, 1/27, 3-5pm, Lake Merritt Conf. Room -- Drop-In Writing Session (attendance optional for everyone unless Michael arranges with you otherwise); as the Mayor's point person, Matt will send an invitation to all supporters and partners (current, prospective, peer-city, public, private or otherwise), inviting them to follow the online proposal writing process (www.oakland.plus), letting them know that they can expect the complete draft proposal to come together by Friday afternoon and that we will host a partnering conference call on Monday, 2/1 from 3-4pm (see additional details for this call below)--save the date!

Thursday, 1/28, 3-5pm, Lake Merritt Conf. Room - Technical Details of Proposed Demonstration Project. Representatives of OPW and other City departments as well as select outside contributors with technical expertise will assemble in person and on the phone; Michael is working with Ahsan, Matt and Wlad to develop a list of required and requested attendees)

Friday, 1/29, 3-5pm, Lake Merritt Conf. Room - Complete rough draft of proposal and send invitation out to all contributors, stakeholders and prospective partners (attendance optional for everyone unless Michael arranges with you otherwise) to review and comment (again, www.oakland.plus)

Monday, 2/1, 3-4pm, Lake Merritt Conf. Room - Partnering Conference Call: supporters and prospective partners have been invited to participate in the City's open, crowdsourced development process since January 11 and given the weekend to review and comment on the City's complete draft proposal; now, they are invited to participate in a partnering conference call. 
Agenda: 
1. Michael: welcome and overview of the proposed project (10 minutes max)
2. Matt explains the role and importance of securing letters of support and his role as the point person to complete this important task--template letters will be provided and one-on-one follow up calls and meetings scheduled, time and weather permitting (5 minutes max)
3. Q&A (45 minutes max)
4. Michael: Close, thank you and call to action: work with Matt to get those letters in ASAP

Tuesday, 2/3, 3-5pm, Lake Merritt Conf. Room - Finalize draft proposal and source to Brooke, City Administrator and Mayor's Office for review and comment.

Wednesday, 2/3, 3-5pm, Lake Merritt Conf. Room - Respond to comments and prepare final version of proposal. Proposal will be submitted in pdf format complete with hyperlinks, so final preparation will also include organizing any and all supporting materials including letters of support (which can be added to a folder so that letters that come in late are still viewable by the DOT evaluation team)

Thursday, 2/4, 10am - Proposals are due (via email) at 3pm EST, so we will plan to have everything prepared to send no later than 10am PST (giving us a full 2hr cushion).
